How do I add a contract to a QCS site?

 

Introduction

When you have installed QCS for the first time onto your computer the QCS database will be empty - that is, there will not be any contracts shown on the opening QCS screen. To add a contract to your QCS you will first have to determine if someone else in your company has already added the contract to their QCS or if your QCS will be the first QCS in your company to handle the particular contract. So you will need to ask yourself -- "Will my QCS be the first QCS site to handle this contract or do other QCS sites already exist?"

 

Other QCS sites already exists for the contract

If someone else at your company has already added the contract to their QCS, you will need to perform the following steps:

  1. Install QCS onto your computer. For assistance on installing QCS please see our FAQs on this topic.
  2. Locate the site ID of your QCS installation. You may find it in a number of places in QCS as discussed in the article How can I find my site ID?
  1. Determine who at your company has access to the "master" QCS site.
  2. Contact the individual who has access to the master QCS site and give them your site ID.
  3. The individual at the master site will then:
    1. Register your site ID with the contract. See the FAQ How do I add a remote QCS site?
    2. Assign any modules to you if appropriate. See the FAQ How do I change module assignments? for more information.
    3. Give you the ID of the contract (a letter followed by seven digits with no spaces or dashes). If the master site user has a problem locating the contract ID see the FAQ Where do I find my contract's ID?
    4. Create an export to QCS.
  4. Once the export from the master site is complete you will need to do the following:
    1. Open and login to QCS. If QCS is already open and you are in a contract, exit from the contract by clicking on the [Close Contract] button in the upper left corner.
    2. Click on the [Add] button towards the upper left corner. This will open the Adding New Contract window. This is shown with the green circled "1" in the figure below.
    3. If your master site uploaded the contract to the RMS repository on the internet (a typical situation) you will click on the button labeled [Import from SFTP]. The Add Contract window will appear. This is shown with the green circled "2" in the figure below.
    4. In the Add Contract window enter the ID of the contract the master site gave you in step 5.3 and then click on the [OK] button. In the figure below we have used the contract ID K2000233. This will start the download and add the contract to your QCS. This is shown with the green circled "3" in the figure below.

 

This site is the first QCS site for this contract

If your QCS site will be the first site at your company to handle the contract you will need to perform the following steps:

  1. Install QCS onto your computer. For assistance on installing QCS please see our FAQs on this topic.
  2. Locate the QCS site ID of your QCS installation. You may find it in a number of places in QCS as discussed in the article How can I find my site ID?
  3. Contact your USACE representative and give them your QCS site ID. They will register your site ID to the RMS contract, create an export file for you, and most importantly give you the contract's ID (a letter followed by seven digits with no spaces or dashes. A Contract ID for the Los Angeles district will appear like L1001234.
  4. After your USACE Representative exports your contract open and log into QCS. If QCS is already open and in a contract exit from the contract by clicking on the [Close Contract] button in the upper left corner.
  5. Click on the [Add] button towards the upper left corner. This will open the Adding New Contract window. This is shown with the green circled "1" in the figure below.
  6. If your USACE Representative uploaded the contract to the RMS repository on the internet (a typical situation) you will click on the button labeled [Import from SFTP]. The Add Contract window will appear. This is shown with the green circled "2" in the figure below.
  7. In the Add Contract window enter the ID of the contract the master site gave you in step 3 and then click on the [OK] button. In the figure below we have used the contract ID K2000233. This will start the download and add the contract to your QCS. This is shown with the green circled "3" in the figure below.
